Overview:
To create an online solution enabling employees to manage daily operational tasks as well as manage accounting data – tailored for use by the Travel Industry.
Requirement:
The need was to create a user friendly and comprehensive online tool designed to handle all operational activities - from maintaining standard rate cards, to the creation of quotations, generation of purchase orders and invoices, to the accounts management for entire organization.
The Challenge:
  • The original tools used were Excel for operational data and Tally for accounting – with no integration between the two – the need was for an integrated system
  • The original tools did not provide for storage of rate cards and managing regular updates.
  • To provide a consistent view of data across the organization
  • To enable dynamic creation of quotations based on the current rate cards.
  • To allow for automatic costing generation and creation of Purchase Orders.
  • Combine payments, receipts creation and account management into the solution and reduce the possibility of human error

  • TIS designed a unified database structure to reduce data duplication or redundancy thus ensuring that consistent data is available across the organization
  • The integrated system provides complete functionality for travel management which including integration with other back-office systems
  • The solution is deployed online and gives users the capability to view data in a real time.
  • The system provides for central storage of rate cards for all services offered
  • Quotations can be generated based on rate cards and once approved they can be directly invoiced through the system
  • It enables easy planning of itineraries for individuals and groups
  • It provides for automatic generation of costing for the quotations created.
  • The system provides an Accounts module for managing payments, receipts, credit notes and debit notes.
  • It also provides a comprehensive set of reports including outstanding balances, profit and loss and ledgers.

With the ability to automatically generate invoices, manage payments and see a consolidated, real-time view of all their data, the solution has become an invaluable operational tool for the client.
